Qualifications:

High school completion plus a diploma from a library technician’s program or equivalent relevant library experience and training required. A university education in a related field preferred. Three years of related academic library experience and/or training required. Familiarity with general library concepts and procedures required. Current experience with general office routines including business correspondence desired. Experience using an automated library system required. Proven competence with microcomputer software and applications including Word, Excel and an electronic mail system essential. Experience using the Internet esssential. Knowledge of book or serial vendor or publisher online databases is desired. Knowledge of HTML and experience using Dreamweaver desired. Knowledge of basic cataloguing rules desired. Ability to function at intermediate level Word and Excel essential. Ability to effectively search and retrieve information on the Internet is essential. Effective English communication skills, both verbal and written, essential. Demonstrated ability to initiate correspondence is essential. Demonstrated ability to perform detailed work quickly and accurately and the ability to work effectively in peak periods are essential. Demonstrated ability to organize, analyse and interpret information in order to make decisions is essential. Ability to work independently and collegially in an environment of dynamic change is essential. Ability to represent the Department with business contacts is desired. Ability to organize personal work routines is essential. Evidence of initiative and flexibility in problem solving and the ability to exercise good judgement in making decisions are essential. Physically capable of performing the duties as assigned is required. Demonstrated commitment to continuous learning required. Satisfactory work record, including attendance and punctuality, is required.

Representative Duties:

Exercises considerable initiative in terms of processing, reviewing and problem solving associated with new and ongoing print serial orders, including title changes, vendor changes, transfers or cessations. This includes corresponding with serial vendors and publishers, establishing and maintaining DRA records and liaising with Libraries’ unit heads, bibliographers, Bibliographic Control staff and the Electronic Resources Unit staff. The incumbent participates in the planning and implementation of major serial cancellation projects as well as handling correspondence and updating online and manual records associated with ongoing print serial cancellations.

Responsible for third claim activities associated with journal issues paid for but not received including researching vendor databases, initiating correspondence, requesting credit and maintaining follow-up files. Responsible for resolving problems relating to serial duplicate shipments, short shipments, incorrect titles and damaged materials. Participates in maintaining and updating the DRA Supplier File.

Responsible for Acquisitions’ activities associated with the Libraries’ Adopt-a-Journal Programme including preparing renewal agreements, processing orders, initiating correspondence and setting up Acquisitions’ records and spreadsheets to provide current and historical information/statistics on the Programme.

Answers queries from serial vendors and publishers, Libraries’ staff, UM faculty and Adopt-a-Journal donors on the status of serial orders or cancellations, subscription pricing and status of receipts.

Serves as the Information Provider for the Acquisitions Department web page. participates in training Acquisitions’ staff in the use of various aspects of the Acquisitions module. Participates in courses, workshops or conferences focussed particularly on new technologies and developments in Libraries and Acquisitions.
